Recognizing that the appropriate handling and thorough protection of personal information is an important social responsibility, TOPPAN is committed to protecting personal information and handling it appropriately in accordance with applicable laws, regulations and internal policies.

1. Personal Information Protection Policy

As part of the information and communication industry, TOPPAN recognizes the protection of personal information as an important management responsibility. We respect individual rights and privacy and work to maintain the trust of our customers, partners and other stakeholders.

(a) the website does not use any cookies, but saves what I assume to be strictly necessary info to localStorage. While no cookie banner is needed, an information on this should nevertheless be provided to visitors. I assume the usage of cookies will not change before the website is launched; if it would change, the information should be updated accordingly, and potentially a cookie banner must be used for the usage of tracking technology that is not technically “strictly necessary”.
(b) based on the current Privacy Policy and Terms of Use, I understand the website is used for (i) signing up to newsletter; (ii) using contact form, (iii) linking to existing social media accounts, and (iv) gathering information on prospective employees on a Careers page. Based on this, I would consolidate both documents into one, since they currently overlap in their purpose and are missing some elements required by the data protection regulation. I assume that the current documents are, in terms of their scope, complete and that no other processing of personal data via the website is planned in the final version of the website.
(c) the website has “Imprint” in the footer, but the link is inactive. While the identification of the page owner is mentioned elsewhere, if the Imprint is included, I would suggest to put there the minimum required information identifying the company running the website.
The required scope includes English and Czech versions of the documents; Czech ÚOOÚ requires a Czech version of these documents for websites that are (also) available in Czech language and are focused on Czech-based web visitors.

2. Taking into consideration the nature and scale of our business, we obtain, use and provide personal information through fair and lawful procedures and take appropriate measures to prevent its use for purposes other than those specified.
3. We recognize the risks associated with personal information, including unauthorized access, loss, destruction, alteration and disclosure, and take reasonable organizational and technical measures to protect it. If an incident occurs, we will respond promptly and appropriately.
4. We maintain appropriate channels for inquiries, requests and complaints concerning personal information. When contacted by an individual regarding their personal information, we will respond sincerely, appropriately and without undue delay.
5. We establish, implement and continually improve our personal information protection management practices.

II. Principles Concerning the Handling of Personal Information

1. Compliance with laws and social order

When personal information is obtained in connection with TOPPAN's business activities, it will be handled in accordance with applicable laws, regulations and other relevant requirements.

TOPPAN appropriately manages and protects personal information obtained in connection with its business activities. Reasonable safeguards are implemented to protect personal information against risks including unauthorized access, loss, destruction, alteration and disclosure.

If a personal information incident occurs, TOPPAN will respond promptly and appropriately.

3. The purpose of use of personal information

Personal information obtained directly by TOPPAN may be used for the following purposes:
(1) To respond to inquiries concerning TOPPAN's business, products and services;
(2) To provide or send materials and information requested by users;
(3) To deliver TOPPAN email newsletters to subscribers and to maintain and improve newsletter services;
(4) To conduct surveys and use the results to improve products, services and communications; and
(5) To provide guidance, support and other information concerning TOPPAN products and services.
If it becomes necessary to use personal information for a purpose materially different from those described above, TOPPAN will provide appropriate notice and obtain consent where required by applicable law.

(3) When necessary information is provided to a related operational partner in order to provide information such as guidance and support information for services;
(4) When an official referral is received and disclosure is required based on the law from an official body such as court or the police and the Company responds appropriately; and
(5) When a referral must be made to a related organization in order to protect the life, person, property or other assets of the person concerned or another person or other persons.

5. The consignment of personal information

Within the scope necessary for achieving the purpose of use, there are cases where the processing of personal information is consigned to an operational partner with a contractual relationship.

6. Amendments

This Privacy Policy may be amended as necessary to reflect changes in TOPPAN's operations, services, technologies or applicable legal requirements.

7. Scope of application

This Privacy Policy applies to TOPPAN's handling of personal information in connection with the website and the activities covered by this policy.

It does not apply to websites or services operated by third parties, even where links to those websites or services are provided on this website. Third-party websites are governed by their own privacy policies.
